
Is your to-do list never-ending? Are you able to take time off away from your business? As entrepreneurs, we are always trying to achieve that balance. However, by employing these 5 time management tips, you can turn your to-do-list into your “accomplished list” and make your life easier.
The reality is if you aren’t organized then you aren’t productive. Working with multiple clients and spending hours trying to find that missing document on your computer is not an effective use of your time. Instead, create folders for each of your clients (or projects). Store those documents that relate to that one client in that folder only. That way, whenever you are looking for that document again you can easily find it. Another great tool to use is a project management system that will allow you to track your projects and know exactly what’s coming up next in your business. There are many to choose from. I like and use TeamworkPM.
Knowing when you’re “in flow” is critical to your success as an entrepreneur. You may find that between 6 AM and NOON you’re most productive and better able to handle complex projects. Alternatively, after 9 PM may work better for you. The key is to identify your most productive times and reserve them to focus on your high priority projects. This doesn’t mean you should spend that time invoicing your clients, booking appointments or doing all the other essential administrative work (read Tip #4). It means you should spend this time marketing, networking or creating new products and services.
Wearing so many different hats in your business and trying to manage your time can be quiet challenging. However, you can cluster tasks that are similar so that you remain “in flow.” For example, you could schedule all your client appointments on two days each week, instead of meeting 1 or 2 clients each day. If you are writing articles, you could schedule the research or writing process one day each week. Working on one type of activity will enhance your productivity and allow you to feel more in control and less overwhelmed.
You are responsible for setting up systems in your business. Setting up systems and automating your repetitive tasks once will save you time, energy and money over time. For example, you could use an email marketing system to capture email addresses from your website. However, you can take that a step further and automate your email marketing campaign. Each time you get a new subscriber, they will automatically receive your free offer and a series of autoresponders that will allow you to keep in touch with them over time. You can also systemize your client inquiry process or the way you handle a new client. Ensure you take some time to review all the tasks you handle in your business and find ways to systemize and automate them.
As an entrepreneur, you need to guard those 24 hours you receive each day. Don’t believe the myth “Nobody can do this task like I do.” There are certain activities in your business that only you can handle. However, you can hire others to take care of your business-related tasks for you. You’ll find that they can do them quicker or even more efficiently than you can. Some of the tasks you can delegate include article writing, bookkeeping, newsletter management, or social media updates. If you embrace Tip #4, then it becomes much easier for you to train others to handle tasks for you. You will get more time to focus on activities that directly bring more revenue into your business and finally take that long overdue vacation.
You are the CEO of your company and are responsible for structuring your time, establishing work standards and finding a way to remain focused as the visionary in your business. No one else can do that for you. In order for you to grow your business, you have to make time management a priority so that you can focus on the core activities that will increase your revenue.
